Payroll Changes

Winston-Salem State University is in the final stages of transitioning the payroll function from the current system in the Office of the State Controller to its own Banner payroll with a new Shared Services Center that will manage banking, benefit premium remittances, and tax administration.  The University is one of nine campuses in the UNC System that is making this move.

The payroll process using Banner is very different since hourly-paid employees have already moved to a computerized Web Time Entry (WTE) system for completing on-line timesheets that are then approved electronically.  Payroll is generated from these electronic timesheets. Similarly, salaried paid employees who accrue leave will enter leave usage through on-line leave reporting that are then approved electronically.  Training on the leave reporting and approval will be provided to all salaried employees within the coming weeks.

Shortly, there will be a self-service portal allowing employees to view their permanent address, direct deposit information, and pay stubs and permanent employees also able to view-up-to-date benefits and deduction information --- all online.  Training for use of the self-service portal will be provided shortly as well.

Change Implications

Of course, moving to a web-based system also means that employees must meet payroll deadlines for getting their timesheets to their approvers and approvers for getting the timesheets on to payroll for processing.  Missed deadlines will mean missed paychecks.

There also will be changes in pay cycles for some employees as follows:

- The first payroll change was for students and temporary employees who are paid on an hourly basis.  They moved from a monthly payroll to being paid bi-weekly beginning July 30.  Once again, supervisors of student employees need to ensure the student gets the message, and that time is properly recorded and submitted on time.

- Students and temporary employees who are paid a flat salary will move from being paid on the 15th of the month to being paid on the last working day of the month beginning in January.

-Adjunct faculty employees for the Spring Semester will move from being paid on the 15th of the month to being paid on the last working day of February, March, April and May.

- Salaried employees, permanent employees (SPA, EPA non-faculty and EPA faculty) will continue to be paid on the last working day of each month.  They will be paid from Banner Payroll effective in January.

How the Banner HR/Payroll Project will affect you:

Hourly Students and Hourly Temporary Employees:
• Received first bi-weekly check from Banner on Friday, July 30,

• New hourly students, hourly temporary employees and their supervisors are required to go through Web Time Entry training

Students and Temporary Employees paid a flat amount:
• Beginning in January, will be paid from Banner on the last working day of the month

Adjunct Faculty
• With the Spring Semester, adjunct faculty will be paid from Banner on February 28

• Next monthly checks will be paid from Banner at the end of March, April, and May

Current Permanent Employees (SPA, EPA non Faculty and EPA Faculty)
• Will continue to be paid on the last working day of each month from Banner

New Permanent Faculty hired for Spring Semester:
• Beginning in January, will be paid from Banner on the last working day of the month

All employees will go through some type of Self Service training in using the Banner portal for viewing permanent address, direct deposit information and pay stubs on line.  Permanent employees will also be able to view up-to-date benefits and deduction information.
