Seating

Meeting and banquet space will be assigned based on set-up requirements and number of guests. The Anderson Conference Center reserves the right to reassign function rooms as needed to ensure maximum efficiency and guest service. Meeting rooms must be vacated promptly on schedule or an additional rental charge may be assessed.

REGISTRATION
Registration space will be assigned to clients by Conference Center staff. We will provide tables and chairs for use. Please make requests for registration space well in advance of your program. We ask that clients not move tables and chairs without first consulting with Center staff.

PARKING
Ample parking is available for visitors and is included in the rental of all facilities. The Center is conveniently located in close proximity to major thoroughfares and highways.

COPY AND FAX SERVICE
The Center will make available its services to photocopy information for clients provided sufficient notice is given. There is a cost per sheet for copies. Fax services are also available for a per sheet charge.

CANCELLATION POLICY
If cancellation or postponement of a program is made less than thirty (30) days prior to the scheduled meeting date, the Anderson Conference Center reserves the right to charge one-half of the minimum anticipated fees for all facilities and services requested. For cancellations or postponements of contracted catered functions, the actual cost of any non-recoverable catering expenses will be added. Numbers cannot be reduced at the time of cancellation. Cancellation fees will be calculated at 50% of the number booked as of thirty (30) days prior to your event.

BILLING
Clients of the Anderson Conference Center agree to pay all applicable charges for use of the Center facilities and services. A deposit of 50% of the contract fee is due five (5) business days after receiving the contract. Final payment is due two (2) weeks before the event. FORM OF PAYMENT: We only accept first party Certified Check, Money Orders or Business Checks made payable to Winston-Salem State University. 

INSURANCE
Clients of the Anderson Conference Center may be required to provide evidence of at least $1,000,000 combined single limit bodily injury and property damage Insurance coverage.

AMERICANS WITH DISABILITIES (ADA)
Please let the Conference Center know a minimum of two (2) weeks in advance for special needs, including ADA requests.

CATERING
The University has contracted with Aramark Dining Services to provide all food service to the University. Groups planning to sponsor events in the Anderson Conference Center involving any food service must notify the Reservations Office of that fact at the time the reservation is made. "Food" includes such things as snacks, soft drinks, other hot or cold beverages, receptions, banquets, meals, luncheons, dinners, brunches, desserts, etc. In general, arrangements for all catering needs must be made through Aramark Dining Services at 336.750.3160 or catering@wssu.edu.

TICKETS
The University must print all tickets. There is a 3.5% Box office Fee plus an additional 3% fee for any credit card charges. The University will provide Ticket Takers and Ticket Sellers at a minimal fee. Whenever tickets are sold or money collected at an event, Police services are required.

VENDOR SALES
Vending is allowed, however permits must be obtained through the WSSU Ticket Office. Please contact 336.750.3220 for additional information.

DELIVERIES
Support equipment and materials may be delivered to the Center no more than seven (7) days in advance of your program and unloaded at the buildings loading dock. Prior authorization must be obtained from Conferences and Institutes. Please coordinate storage and delivery needs with your Conference Services Coordinator. Specific labeling instructions will be provided to ensure proper delivery.

ADVERSE WEATHER
In the event of adverse weather conditions, the Anderson Conference Center will make decisions about conference operations in a manner that best addresses the safety, convenience, and preferences of clients and conference attendees. If Winston-Salem State University is closed due to adverse weather, the Conference Center will be closed as well and will notify its clients accordingly.

ADVERTISING
No advertisement or other public statement made by Client or its agents in any manner or medium shall assert or imply that the University supports, approves, or endorses any product, service, interest, position, or ideology of Client. Client shall not appropriate or make use of the Universityâ??s name or any of the Universityâ??s trade or service marks or property, in advertising or otherwise, without prior written consent of the University.
